Held Visits and Month-End Invoices

Why is my visit waiting for the month-end invoice? Why can't I approve a job yet? What does 'Invoice changed after review' mean?

Web: Work > Job Review > Pending

If your FSM invoices jobs at the end of the month, a visit can be held in Pending until that invoice arrives. Visits show under their parent job. A held visit shows one of these messages:

  • 'Waiting for the month-end invoice' -- the visit is waiting.

  • 'Fixed payout. Revenue arrives with the month-end invoice.' -- the payout does not depend on revenue, so you can approve it now.

  • 'Payout depends on revenue. Waiting for the month-end invoice.' -- you cannot approve yet, because the payout needs the invoice amount.

  • 'Approved before the invoice. Revenue arrives with the month-end invoice.' -- you approved it early and the revenue will be added when the invoice arrives.

Example: A visit pays a Fixed $75 per line item and has 2 line items. You can approve now: $75 x 2 = $150. A visit paid 10% Top Line on a $1,000 job needs the invoice first, because the $100 payout depends on revenue.

Invoice changed after review

If an invoice changes after you approved the job, the job shows an 'Invoice changed after review' banner. If this is the first invoice after review, the title is 'First invoice after review'. The banner shows what changed, such as amount, tip, tax or discount. To apply the change, restore the job to Pending. Reopening recalculates the job's payouts. See Restore a Job.
